Procurement Assistant: Pharma & Government

OVERVIEW

The incumbent will be responsible for all administrative tasks. These include but are not limited to other assigned duties. The incumbent must manage all other Government related business done by the company.

QUALIFICATIONS & REQUIREMENTS:

  • Grade 12 certificate is compulsory.
  • Experience and a qualification in the Pharmaceutical Wholesale Industry will be advantageous.
  • Applicant must not have a criminal record.
  • Proficient in Microsoft (Excel, Word, Outlook).
  • Adequate comprehension of basic mathematics skills.
  • Applicant must have the ability to communicate effectively and professionally with suppliers.
  • Applicant must be in a good physical and mental condition.

ESSENTIAL DUTIES AND RESPONSIBILITIES:

  • The incumbent must follow-up on orders to ensure timeous delivery of stock.
  • The incumbent must manage his/her portfolio by regularly checking on outstanding stock / stock on backorders and follow-up with suppliers.
  • The incumbent must process/capturing invoices and follow up on Permit Orders.
  • The incumbent must assist with the item master and ensure the prices of stock are correct.
  • The incumbent must assist with reception duties when requested.
  • Providing order and product information from Suppliers to Buyers and Telemarketers.
  • The incumbent must assist Receiving and Finance personnel.
  • Get quotations for clearance and transport.
  • Work closely with Central Medical Store, and Ministry of Health Hospitals regarding quotations, ordering, follow upon orders and communicate out-of-stock products.
  • The incumbent must understand the Good Distribution Practice principles to assist where applicable in the Category of Pharma and Government.
  • The incumbent must support training and development of new staff in Procurement.
  • The incumbent must assist with the compiling of Government tender documents in collaboration with the administration department.
